Navigate - Overview of the Staff Home Page

The Staff Home page is the initial page that most users will see when the first log into Navigate. From the Staff home page, you will be able to get a top-level view of your students and take key actions to support them.

The Staff Home page is composed of distinct tabs (Students, Appointments, and My Availability) in addition to overview boxes (Actions, Quick Links, and Upcoming Appointments) containing high level information.

NOTE
Your access may vary slightly depending on what roles you have been assigned. If you have multiple roles, you may have to select "Staff" by clicking the Drop Down Arrow next to "Home".

Your Staff Home will display students assigned to you who are enrolled in the current term. You can find students in other terms by changing the term to "All Terms" using the "Term" drop down menu.

Students Tab

The "Students" tab shows you a list of your assigned students. You can select students to display in this grid based on the term the student is enrolled and/or your relationship to the student (Primary Advisor, Secondary Advisor, Coach etc).

Use these menus to find specific groups of students quickly.

 From the "My Assigned Students" grid you can also perform actions on multiple students at a time. Check the box next to the student’s name and choose the action drop down to perform one of several actions:

  • Send messages 
  • Create appointment summaries and campaigns
  • Schedule appointments
  • Create note and issue alerts
  • Add students to a student list 
  • Export lists of students
  • Choose which columns to display in My Assigned Students Grid

Check the box next to each student name to apply actions to a group of students.

Appointments Tab

The second tab on the Staff Home page is the "Appointments" tab. This page will list your upcoming appointments and your recent appointments and any reports filed about those students. The recent appointments grid helps you to keep track of which reports you have filed for your appointments.

This tab helps you manage your appointments and reporting.

You can use the send messages, add appointment summaries, issue alerts and mark no-shows by clicking the check box next to a student name and selecting an option from the "Action" menu.

These menus allow you to quickly connect information to an appointment.

My Availability Tab

One of the key features provided by Navigate is the ability to schedule appointments with students. You must set up when and how you are able to meet with students in order to schedule meetings. The "My Availability" tab allows you to review what times you are able to meet with students. On this page you will also find your Personal Availability Link (PAL). Your Personal Availability Link is a personalized link that you can provide students to schedule appointments directly with you.

You can choose a range of times to be available for students to meet.

Open the "Action" drop-down menu to add time to your availability. Click Add Time to open the "Add Availability" form in a new window. Make sure to check the "Add to your Personal Availability Link?" box to allow students to schedule meetings with you using that feature.

The PAL is a link that can be given to students to simplify creating appointments. Each PAL is unique to a staff member in Navigate. The link does not change over time.

When you include a PAL in a URL field, website, email, or SMS and students click the link, they are taken to the "New Appointment" page in student scheduling. The link redirects to the scheduling page in the student’s browser and asks if they want to continue in the browser or open Navigate Student app.

The staff user, their Care Units, and services are preselected. Students then see the times staff are available to meet. The student will only see the Care Unit, services, locations, and times the staff user has selected to be part of their PAL. It is important to note that all configurations, limitations, and permissions for the availability remain in effect. This means any limitation that would normally apply to the student being able to schedule an appointment will still apply. For example, if the student is not assigned to the advisor they will not be able to schedule an appointment through the Personal Availability Link.
