About This Guide
Welcome to UWS and Academic Advising! This Handbook is designed to explain the process of working with students to achieve their educational goals and to provide resources that can answer questions about how advising works and the expectations of both advisors and students.
This handbook is broken into a few guides in our KnowledgeBase. After reading this guide, we suggest reading the other guides in this series:

This timeline is intended to be a broad overview of the events and dates that impact advisors and students through the academic year cycle and provides a suggested framework for contacting advisees regularly and meaningfully. Advising, however, can (and should) happen at any time.

September
- Fall semester begins
- Weekend of Welcome (WOW) programming for new students.
- Add/Drop continues through the first 2 weeks of the semester.
- Administrative drop happens if students do not attend the first day of class or designated online activity.
- Advisors should send a welcome email to their advisees with important reminders and offers of support.
- Professional advisors should meet with new advisees that were advised at SOAR to discuss academic goals, how the beginning of the semester is going, address any questions or concerns, and begin work on a degree plan.
- All advisors should meet with continuing advisees to make schedule adjustments as needed or to offer support.
- Advisors should reach out to students who have received ad-hoc alerts.
October
- Pre-Advising Week occurs.
- Continue to keep in touch with advisees in either initial or follow up appointments.
- Notify advisees when the course schedule for J-Term and spring semester opens and remind them to look over the schedule and begin a wish list of courses that they would like to take for the next term prior to their registration advising.
- Begin scheduling registration advising appointments with advisees through a Navigate Appointment Campaign.
- Progress reports are sent out, and Advisors should follow up with these students to discuss challenges (personal and academic) and make appropriate referrals.
November
- Registration begins for J-Term and spring semesters.
- Remind advisees about the last day to drop classes with a W and last day to add arranged classes.
- Communicate to advisees where they can locate their registration appointment in E-Hive.
- Continued follow-up with advisees to remind them to register.
- Outreach to non-registered students begins.
December
- Open registration continues, and outreach to non-registered students is ongoing.
- Advising for new and continuing students is ongoing
- Final exams
- Last day of fall semester
- J-Term begins
January
- Grades are posted and GPAs updated for advisees. Students on probation and suspension are notified of their status, and advisors should work with them on reinstatement petitions if necessary.
