CCE: How to Setup Canvas Courses for CCE Webinars
CCE staff can use Canvas Catalog and Canvas course settings to deliver webinars to registrants. This document describes ways to configure these Canvas courses, grant registrants access, and then manage that access.
Courses in the continuing education instance of Canvas can use Canvas Catalog to register students
Days to Complete Listings
Canvas Catalog allows students to register for a Canvas course and be granted a certain number of days to complete it. By default, the student can access the course after their Days to Complete are up, but can no longer participate in course activities.
If you’d like, you can rescind a student’s access after their Days to Complete are up. First, conclude the course by entering a course end date. Next, restrict students from viewing the course after the end date. Finally, locate the course section associated with the student and make it read-only beyond the student’s Days to Complete period. To do so, follow the steps below.
Step One: Configure a Course End Date
- Open the Canvas course.
- Click the Settings link in the course Navigation menu.
- Enter yesterday’s date in the End box. (Any past date will work.)
- Check the “Restrict students from viewing course after course end date” checkbox.
- Click the yellow Update Course Details at the bottom of the page to save this change.
Step Two: Change the Student’s Section
- Scroll to the top of the screen and click the Sections tab.
- Find the student’s section and click it.
- On the student’s section page, click the Edit Section button.
- Check the “Students can only participate in the course between these dates” checkbox.
Now that the course has the “restrict viewing after end date” setting enabled and the section has the participation box checked, that combo will hide the course from the student after the section’s Ends date. Repeat Step Two for each student.
After the student’s Days to Complete are up, the student will remain listed in the People tool but will be unable to access the course.
Cohort Listings
Instead of using the Days to Complete feature, we can start and end listings on a particular date. Canvas administrators will create a Catalog listing for each start time, which automatically creates a corresponding Canvas course for that listing.
Distinguish Between Each Cohort
Choose a naming convention that makes it easy to distinguish between similar listings. For example, you could use the following for a series of monthly listings for the same “Gut Health” webinar:
- Gut Health (January 2023)
- Gut Health (February 2023)
- Gut Health (Marh 2023)
- Gut Health (April 2023)
Canvas administrators will add CCE staff to each Canvas course. You can then design course content and edit course settings.
Configure Start and End Dates
Configure the courses to start and end on the necessary schedule. about 30 days after when it’s configured to begin. (We should use an unobtrusive naming convention to differentiate each cohort.) Students would register with CCE via CVENT and then CCE staff would send them the Catalog listing for their particular cohort.
