Navigate - How to Set Up an Appointment Campaign

Appointment Campaigns let staff reach out to specific student populations and encourage them to schedule appointments. This tool is for encouraging students to schedule a meeting with their advisor during registration. It can also be used to send requests to schedule an appointment when an advisor identifies a population of students who need extra support.

Launch an Appointment Campaign

To begin, click Appointment Campaigns in the "Actions" or "Quick Links" menu from your home screen.

This will open the "Appointment Campaign" page. Click Add New to build a new campaign.

Define a Campaign

In this step, you will set the criteria for your Appointment Campaign. The fields that must be filled out are listed and defined below. Note that if other staff are going to be included in this campaign, the reason/location/date range must align with Campaign Availability for the advisor(s) that are going to be participating.

Name your Campaign

Campaign Name is visible to the person creating the campaign and any other users who have access to view campaigns, but not visible to the student. Our standard at UW-Superior is to use your initials followed by description of what kind of campaign and then when campaign is for. 

Example: TWB Fall Advising 2021

Choose a Care Unit

The Care Unit the Appointment Campaign is associated with.

Choose a Location

Location where service will be provided (e.g. Center for Academic Advising, Faculty Offices)

Choose a Service

Service options will be available depending on the Care Unit and location. Example Advising Campaign: Register for Classes

Set an Appointment Limit

Input how many times you plan to meet each student during campaign.

Set an Appointment Length

Input how long should appointments last.

Set Slots per Time

Appointments can be individual or group. By adding more than one "slot per time", you can have a group appointment.

Set a Scheduling Window

Campaign appointments can be scheduled on any date within the scheduling window. Your campaign will begin automatically on the date of your first nudge.

Set a Launch Date

This Launch Date will be the date that the "Welcome Message" will send. If students are added to your Campaign after this launch date via Automation, the "Welcome Message" will send to that student as soon as they are added.


Add Students to a Campaign

After entering the details on the Define Campaign page, click Continue.

Your next step is adding students. In the Advanced Search box you can use various criteria to search for students.

If you wish to send campaign to students assigned to you use the following steps.

  1. Use the Assigned To search option.
  2. Select the Relationship Type you want the students to have with you (e.g. Advisor (Primary)
  3. Select Staff member they should have this relationship with.
  4. Click on Search

Check your list to make sure the correct students were pulled, select all the students from the list, then click the blue Continue button at the bottom. Review your students in the campaign and click the blue Continue button.

Add Staff to a Campaign

You will need to select yourself as staff for the campaign. Add staff to the campaign and click Continue.


Compose Message to Students

Your next step is to compose the message that you will send to students.

Fields used in the message composition are:

Email Subject: The topic is the subject of the email going to the student.

Instructions or Notes: This is specific to the landing page students are taken to when they click on the link in their email to choose the date and time of their appointment.

After you have finished composing your message, it's time to send out your campaign!


Confirm and Send

Review your campaign details, invitees, and advisors on this page. Select how your organizers and attendees get reminders about appointments. Click Send to finish setting up your campaign.
