Advising Handbook - Understanding EHive
About This Guide
Welcome to UWS and Academic Advising! This Handbook is designed to explain the process of working with students to achieve their educational goals and to provide resources that can answer questions about how advising works and the expectations of both advisors and students.

EHive is the Student Information System (SIS) that UWS utilizes, and students should use EHive to enroll in classes, pay their bill, accept financial aid, apply for graduation, etc. Advisors primarily use EHive to view Academic Advising Reports, remove Advising Holds, view Transfer Credit Reports, view the Enrollment Appointment, and view a student’s Milestones.
Academic Advising Reports
An Academic Advising Report (AAR) in PeopleSoft is a comprehensive document that provides students and advisors with a detailed overview of a student's academic progress. It typically includes:
- Degree Requirements: An outline of the courses and credits needed to fulfill degree requirements.
- Completed Courses: A list of courses the student has already completed, along with grades earned.
- In-Progress Courses: Information on courses the student is currently enrolled in.
- GPA Information: Cumulative GPA and major GPA, if applicable.
This report helps students track their academic journey, understand what they need to do to graduate, and facilitates effective advising sessions.
Each section of an AAR will either be open or closed.

A triangle pointing to the right (like the College Writing requirement), means that the requirement has been met. A triangle pointing down (like the Professional Writing requirement) means that the requirement still needs to be met. You can always open a section by clicking the triangle or vice versa. Incomplete “I” or courses in which a student is currently enrolled will close a requirement.
Advising Holds
The University places enrollment holds each semester to ensure that all undergraduate students discuss their course selections with their primary academic advisor before registration. Once the student has met with their primary advisor and had their course selection approved, the advisor will lift the enrollment hold. This allows the student to register for classes after their enrollment appointment begins. It is important to note that students may have other holds that prevent them from enrolling. You may view what holds a student may have on the righthand side of the Student Center in EHive; click “details” for more information about how to remove the holds.
Transfer Credit Reports
The Transfer Credit Report is a list of the classes that a student may have taken at a previous university and how they transferred to UWS. Any courses that cleanly transferred will be listed as that course – for example, you may see that a course transferred as COMM 110 or MATH 112, which means that no further action is needed on the advisor’s part. However, courses that are listed as transferring as an “89” (189, 289, 389, or 489) are considered elective credits. These courses go towards the 120 credit requirement for students to graduate, but they do not meet any other specific requirements. For example, you might see that a course transferred as “HIST 189,” but the course sounds like it could meet a University Studies requirement. The advisor should work with the Registrar’s Office and the appropriate academic department to file a Course Substitution form as needed for elective credits.
Enrollment Appointment
The enrollment appointment is when a student may enroll in the upcoming semester, and the shopping cart appointment is when students can place classes for the upcoming semester into their shopping carts. Advisors should ideally meet with students prior to the enrollment appointment to remove the advising hold and provide advice on which courses the student should enroll in. The table can be found in the right-hand side of the Student Center in EHive.

Milestones
Milestones refer to which math and writing course a student has tested into in both the math and writing sequences. Clicking the “details” link will give advisors more information about which specific course the student should start in.
